This is a list of the alarms/notifications, along with a description and an example of the email and/or SMS message that is sent on the alarm is triggered.

Alarms/Notifications: Late Return (0 Minutes Late)

An email and/or text is sent to a driver once a reservation's scheduled end time has passed. This alarm is triggered at different time intervals and each needs to be configured individually. An admin can also be notified if necessary.

Admin/Driver Email

  • Subject: Late Vehicle Return
  • Body: Reservation (Reservation ID#) is now late.
    • Reservation: Reservation ID#
    • Driver: Driver ID# - Driver's Full Name
    • Vehicle Name: Vehicle Name

SMS

Your scheduled reservation end time just passed. Please return your vehicle immediately. Issues? Call (PoC Name) at (PoC Phone#).


Alarms/Notifications: Late Return (15 Minutes Late)

An email and/or text is sent to a driver once a reservation is 15 minutes late. This alarm is triggered at different time intervals and each needs to be configured individually. An admin can also be notified if necessary.

Admin/Driver Email

  • Subject: Late Vehicle Return: 15 Minutes
  • Body: Reservation (Reservation ID#) is now late by 15 minutes.
    • Reservation: Reservation ID#
    • Driver: Driver ID# - Driver's Full Name
    • Vehicle Name: Vehicle Name

SMS

An email and/or text is sent to a driver once a reservation is 1 hour late. This alarm is triggered at different time intervals and each needs to be configured individually. An admin can also be notified if necessary.

Admin/Driver Email

  • Subject: Late Vehicle Return: Over 1 Hour
  • Body: Reservation (Reservation ID#) is now late by over an hour.

An email and/or text is sent to a driver once a reservation is 2 hours late. This alarm is triggered at different time intervals and each needs to be configured individually. An admin can also be notified if necessary.

  • Body: Reservation ([reservation_id]) is now late by over 2 hours.

Alarms/Notifications: Late Return (0 Minutes Late, Upcoming)

An email and/or text is sent to a driver once a reservation's scheduled end time has passed and the vehicle has another reservation upcoming in an hour. An admin can also be notified if necessary.

Admin/Driver Email

  • Subject: Late Vehicle Reservation Starting Soon
  • Body: Reservation (Reservation ID#) is late to return and another reservation on (Vehicle Name) is starting in less than an hour.

Alarms/Notifications: Car Offline, Upcoming Reservation

An email is sent to an admin when an offline vehicle has a reservation upcoming within 24 hours.

Admin Email

  • Subject: Upcoming Reservation: Vehicle Offline
  • Body: A vehicle is set as offline, but has a reservation coming up within 24 hours.
    • Vehicle Name: Vehicle Name
    • Vehicle Status: Vehicle Status
    • Reservation: Reservation ID# - Driver's Full Name
    • Location: Location Name
    • Scheduled Start: Start Date - Start Time
    • Scheduled End: End Date - End Time

Alarms/Notifications: Unbooked Vehicle Away from Lot

An email is sent to an admin when a vehicle is more than 100m from its defined home locations geofence. This is designed to help with loss prevention.

Admin/Driver Email

  • Subject: Unbooked Vehicle Away from Lot
  • Body: A vehicle that is not currently on a reservation may be away from the home location. Please review the GPS data from the vehicle to determine if the vehicle might be stolen or being used without authorization. You may need to manually update the GPS on the vehicle to get the latest coordinates.

Alarms/Notifications: Vehicle Damage Reported

An email is sent to an admin when a damage report is submitted by a driver on the app. This email contains a hyperlink that will redirect the admin to the reservation's details page where the damage report can be reviewed.

Alarms/Notifications: Reservation Created

An email is sent to notify the driver that a reservation has been created. This can also be sent to an admin if desired.

An email is sent to notify the driver that details of their reservation have been updated. This can also be sent to an admin if desired.

An email is sent to notify the driver that their reservation has been canceled. This can also be sent to an admin if desired.

An email is sent to notify an admin that a reservation was ended but the vehicle is more than 1 mile away from the home location.

Alarms/Notifications: Reservation Reminder

An email is sent to a driver once a specific vehicle has been assigned to a reservation.

Best Practice: This can be configured to match the Vehicle Confirmed RRS, ensuring the driver has all relevant reservation details on hand.

Alarms/Notifications: Low Battery Voltage

An email is sent to an admin to alert them that a vehicle's battery has dropped below a certain threshold. This threshold is configurable but is set to 12v by default.

Driver Email

  • Subject: A vehicle battery is under 12 V.
  • Body: A vehicle battery is under 12 V. Please contact the location point-of-contact to check the vehicle battery and run the vehicle to recharge as necessary.

Alarms/Notifications: Geofence Alert

An email is sent to an admin to alert them that a vehicle has traveled outside of a permitted range from its home location. An SMS can also be sent to the driver in this situation.

Specify the allowed distance that vehicles can travel from their original location.

  • Body: A vehicle has crossed the 75 mile radius from its original location.
