Administrator's Guide to Setting Up and Managing NFC Cards

This guide provides a comprehensive overview for administrators on how to configure, register, and manage NFC (Near Field Communication) cards for vehicle access within Mission Control. It covers the different functionalities between telematics providers and answers common questions about the reservation lifecycle.

Overview and Key Functionality

NFC cards provide a convenient way for drivers to access vehicles without needing a mobile phone interface. The functionality of the card, particularly for ending a reservation, differs based on the telematics hardware installed in the vehicle.

  • Geotab: This system provides more informative events because it can clearly distinguish between tap durations.
    • A Short Tap is used to start the reservation or to lock and unlock the doors during the trip.
    • A Long Tap (holding the card for over 7 seconds) is used to end the reservation.
  • Invers: This system cannot clearly differentiate between a short and long tap.
    • A Short Tap is used to start the reservation and to lock and unlock the doors.
    • Ending a reservation with the NFC card is not supported; the driver must use another application, such as the mobile app or web portal, to end their trip.

Note: This guide covers the administrative setup and management of NFC cards. For the specific, step-by-step instructions intended for your drivers, please refer to our separate Quick Start Guides for Invers and Geotab.

Prerequisites in Mission Control

NFC card access is an optional feature that is not enabled by default. If you would like to use NFC cards for your fleet, please contact our support team to have this feature enabled for your account.

Registering a New NFC Card

Step 1: Find the Card's Information

  • If you do not know the card's ID, you can find it by tapping the card against an active NFC reader; the revealed code is the one to use, as it is not always the same as the code printed on the card itself.
  • Administrators should be aware of the card types in use for their fleet. Selecting the incorrect card type during registration will prevent the NFC functionality from working.

Step 2: Register in Mission Control

Navigate to the NFC Cards section in Mission Control.

Click "Register NFC Card" and select the correct broker (Invers or Geotab).

If you select Geotab, you will only be asked to enter a card name and it's serial number.

If you select Invers, you will be asked to enter a card name, a card type and it's serial number.

Assigning and Managing Cards and Users

  • Assigning a Card: Once a card is registered, you can assign it to a specific user from both the NFC Card details screen and the user's details page. If no card is assigned to a user, their profile will display "No NFC card has been assigned".
  • Reassigning a Card: You can edit a card's information at any time to reassign it to a new user.
  • Deleting a User: If you delete a customer from Mission Control, their information is archived, but the NFC card remains assigned to them in the backend (though hidden in the UI). The card can still be found and reassigned to another user without issue.
  • Deleting a Card: A card does not need to be unassigned from a user before it can be deleted from Mission Control.
  • Expiration: The card's assignment to a user does not expire; it remains active as long as the user is active in the system.

NFC Cards and the Reservation Lifecycle (Administrator FAQ)

When does card access end for a reservation? For security, access is strictly limited to the reservation window. A "revoke time" is set when the reservation ends to prevent any further access. While Invers hardware might show a card as valid for a longer period, our platform limits access to the active reservation time only.

What happens if a driver extends their reservation? The system will automatically adjust the "valid until" date to match the new reservation end time.
