Automated Goodwill Credit (<$0.50)

Overview

This feature ensures that users with outstanding balances below $0.50 are not blocked from making new reservations. Due to Stripe’s minimum transaction amount of $0.50, small unpaid balances can occur, requiring manual intervention from admins. To streamline the process, the system now automatically applies credits to clear these minor balances, allowing users to continue booking without disruption. Note: This is only for clients that are integrated with Stripe Payments Platform. 

Why This Matters

Customers can experience frustration when minor balances prevent them from making new reservations. This feature eliminates unnecessary blocks, improves user experience, and reduces administrative workload.

What is the reason a customer can be blocked? 

  1. A user attempts to create a new reservation.
  2. The system checks for any outstanding balance.
  3. If the balance is less than $0.50, an automatic credit is applied to clear the amount.
  4. The user is allowed to proceed with the reservation.
  5. If the balance is between $0.50 and $1, the system may still block the reservation unless an alternative solution is implemented.





When This Applies

  • Early Check-In Charge: A user starts a reservation a few minutes early, resulting in a small charge (e.g., $0.26). The system applies an automatic credit, allowing a new reservation.
  • Late Check-Out Charge: A minor charge is incurred for a late return, preventing a new reservation. The fix ensures the balance is cleared automatically.
  • Unbillable Small Balances: Due to Stripe’s minimum transaction amount, an unpaid amount below $0.50 remains. This fix resolves the issue without admin intervention.

 

Solution

When a user attempts to create a new reservation, the system automatically checks for any outstanding balance.  If the balance is less than $0.50, a credit is applied to clear the amount, allowing the user to proceed with the reservation.

Where to Find the Goodwill Credit

The automatically added goodwill credit can be found in the user's profile under the user log.

Steps to find the goodwill credit log on Customer detail view:

 

  1. Look for the customer section in the menu on the left and click on it.
  2. Search for the customer, for example by client ID.
  3. Click on the customer row to go to the detail view. 
  4. Look for the credits section in the client's detailed view.
  5. The goodwill will look like the following image.

 

Reporting for Small Balance Credits

Admins can track these automatic credits through the invoice and payments report.

Steps to Generate the Small Balance Credits Report

  1. Go to Reports in Mission Control.
  2. Create a New Report.
  3. Select Invoice Type and add relevant columns.
  4. Apply a filter for payments with a Credit type and amounts less than $0.50.

Example Columns:

  • Invoice ID
  • Invoice Description Text
  • Invoice Customer Name
  • Payment Amount
  • Payment Source Type
  • Invoice Paid Total
  • Payment Refund Amount

Filters

Set a Predefined Filter with > Invoice> Invoice is Not Cancelled (see image Below)

Download the Report and Filter

Download the report and filter by the Columns Payment amount less than 0.50. 

Limitations

  • This fix applies only to balances under $0.50.
  • Balances between $0.50 and $1 may still require manual review.
  • Compliance with financial and regulatory requirements must be ensured.
