Setting Mileage Limits and Fees for Reservations

This update empowers admins to set mileage limits and fees for rentals, giving you more control over vehicle usage and depreciation. Drivers will see the included mileage and excess mileage charges upfront, ensuring transparency throughout the reservation process.

Creating Mileage Limits and Fees for Admins

  1. Create or Edit Reservation Rules:
    • Navigate to the “Pricing Ruleset” tab located on the left navigation modal.
    • Click the “Create Ruleset” button to create your new mileage limit.
    • Click the “+ Add Rule” button located toward the bottom right of the screen.
    • The ruleset creation screen will allow you to customize the calculation details of the mileage limit for specific reservation types.

Rule Creation Window Definitions

  • Ruleset Type: This automatically calculates the total miles driven during the reservation.
  • SKU Name: Select the type of SKU you’d like to apply for this ruleset.
  • Do you want to use Distance Allowance: Set a maximum distance traveled allowed before an additional charge applies. Leave this toggle off if you do not want to charge for additional miles.
  • Included Miles: Miles that are allowed to be driven during the reservation before an additional charge is applied.
  • Timeframe: This selection applies to the reservation type you’d like to apply the mileage limit to. This will calculate the miles per day, week, and hour.
  • Calculation Message: This section displays a helpful calculation based on your selected timeframes. It rounds up for decimals above or equal to .5 and rounds down for decimals below .5.
  • Rate Per Extra Mile: Enter the fee charged for each mile driven beyond the included allowance.
  • Reservation Acceptable Excess: Add a buffer of additional miles to the total reservation allowance.

NOTE: Empty values for included miles and cost per excess mile will default to zero.

Mileage Limit FAQ

  • Will the invoice display the included mileage and the cost for each excess mile?
    • Yes. The invoice will display the included mileage on the invoice as well as the cost for the additional miles.

  • How can I see the mileage allowance for an in-progress or past reservation?

    • The app will show the included mileage allowance within the reservation details.

  • How does the line item appear on the invoice if no excess miles were driven?

    • If no excess miles were driven, the total for this line item will be zero.
