The Essential Guide to Report Categories: UTILIZATION
This report provides a comprehensive view of fleet performance by calculating three key ratios: the Utilization Rate, which measures revenue-generating efficiency by tracking the percentage of available hours actually booked by customers; the Total Fleet Usage Ratio, which tracks the overall booking intensity and operational burden placed on assets (including all reservation activity); and the Tracking Coverage Rate, which assesses system reliability by confirming the percentage of time vehicles successfully transmit active telematics data.
1. Utilization Event and Asset Details
These fields define the specific time period being analyzed and the primary asset under review.
| Data Field | Purpose |
| Utilization Id | Unique identifier for the specific utilization record or reporting period. |
| Utilization Period Start | The starting date/time of the utilization analysis period (e.g., the first day of the month). |
| Utilization Vehicle Status | The status of the vehicle during the period (e.g., In Service, Maintenance, Decommissioned). |
| Utilization Vehicle Id / Vehicle Vin | The unique ID and VIN (Vehicle Identification Number) of the asset being tracked. |
| Vehicle Name / License Plate | Human-readable identifier for easy tracking. |
2. Organizational and Geographical Context
These categories link the asset to its management structure and physical location.
| Category | Key Fields | Purpose |
| Vehicle Group | Vehicle Group Name, Time Zone, Driver Access, Label | Vehicles are organized into logical entities called Vehicle Groups (also known as Service Groups) |
| Fleet | Fleet Name, Fleet Label | The highest-level organizational group managing the asset pool. |
| Location | Location Id, Address, City, State, Country, Time Zone | Details the primary location where the vehicle is based or was last reported. |
Aggregate data is where the Utilization Report truly shines. These fields represent calculated metrics, primarily measured in hours, to determine the efficiency and usage rate of your assets.
1. Utilization Hours and Breakdown
These sums measure how the asset's total time was allocated across various activities.
| Aggregate Metric | Significance |
| Utilization Tracked Vehicle Hours |
The total hours the vehicle was online and reported by the tracking system. This is the denominator for calculating Uptime/Utilization. |
| Utilization Available Vehicle Hours | Total hours the vehicle was functional, in-service, and available for use. |
| Utilization Offline Vehicle Hours | Total hours the vehicle was taken out of service (e.g., for maintenance or repair). |
| Utilization Untracked Vehicle Hours | Hours the vehicle existed but was not reporting data (suggests gaps in monitoring). |
| Utilization Customer/Employee/Other Service Reservation Hours | Total hours the vehicle was actively reserved and used by different categories of users. |
2. Efficiency and Utilization Ratios
These ratios provide the crucial percentage metrics for gauging performance.
| Aggregate Metric | Calculation / Significance |
| Utilization Vehicle Utilization | What percentage of the total time your vehicles were ready and available for rent were they actually booked and used by a paying customer? The higher the rate, the better you are at keeping your assets busy and generating revenue! |
| Utilization Vehicle All Services Utilization | Total Fleet Usage Ratio, which indicates the overall burden or intensity of use placed on your available vehicle assets. |
| Utilization Vehicle Uptime | Tracking Coverage Rate, which indicates how often your fleet vehicles are successfully being tracked by the system compared to the total time they exist within the operational period. |
3. Volume and Count Metrics
These aggregates measure the transaction volume associated with the utilization period.
| Aggregate Metric | Significance |
| Utilization Used Vehicles / Unique Vehicles | The number of vehicles that were actively used during the period. |
| Utilization Customer/Employee Reservations | The total count of reservations made by different user types. |
| Utilization Unique Customers | The total number of distinct individuals who used the assets (key for measuring customer base activity). |
