Update on Buffer Time Tracking in Utilization Reports

What’s Changing?

We are updating how buffer time is tracked and reported in the Utilization Report to better align with operational needs and requirements.

Previously, buffer time—the period after a reservation ends and before a vehicle becomes available again—was included in "Available Time." This created challenges in accurately understanding true vehicle availability and utilization.

After a detailed review, we've decided to separate buffer time from available time in reporting.

What’s New?

  • Buffer Time will now be excluded from "Available Time" and treated as a separate utilization state, more aligned with "Offline Time."

  • Available Time will now reflect only hours when the vehicle is actually available for new reservations.

  • Buffer Time will be reportable as its own field in the Utilization Report.

  • Utilization calculations (e.g., uptime %, rental % of available time) will automatically adjust to reflect this change.

  • Users will be able to export the Utilization Report with the updated fields, including buffer time.

Why This Matters:

  • Compliance: This update meets the requirement to track buffer time separately for more accurate reporting.

  • Operational Accuracy: Differentiating between true availability and operational downtime (buffer) gives a clearer picture of fleet performance.

  • Better Metrics: Utilization metrics will now better represent "time making money" vs. "non-rentable time."
